How to Configure the Sign Up Fee Feature in WP Easy Pay

The Sign Up Fee feature in WP EasyPay lets you charge a one-time additional fee when a customer starts a recurring payment. This fee is collected only on the first payment and does not repeat in future billing cycles.

This feature is only available for:

• Donation Recurring Forms
• Subscription Payment Forms

Why use it? Use Sign Up Fee when you want to charge a one-time registration, admission, or setup fee on top of the recurring amount —

for example, a membership enrollment fee or a one-time onboarding cost.

Key Difference: Additional Charges repeat with every billing cycle. The sign-up fee is charged only once.

How It Works

The Sign Up Fee follows a simple flow:

1. Admin enables the Sign Up Fee from the backend form settings.
2. The fee appears on the frontend form under Payment Details when a customer submits the form.
3. The fee is recorded separately in the Subscriptions module for each form submission.

Step 1 — Enable Sign Up Fee in the Backend

Navigation Path: WordPress Dashboard → WP Easy Pay → All Forms → Open your Form → Additional Charges tab

1. Go to WP Easy Pay in your WordPress sidebar.
2. Click All Forms and open a Donation Recurring or Subscription Payment form.
3. Click the Additional Charges tab at the top of the form editor.
4. Scroll down to find the Signup Fees section.
5. Check the checkbox to enable the Sign Up Fee.
6. Enter the Label (e.g., Admission Fees) and the Amount (e.g., 500).
7. Click the Update button to save.

Step 2 — Sign Up Fee Displayed on the Frontend Form

Once saved, the Sign Up Fee automatically appears on the payment form for customers.

When a customer fills in the form and reaches the payment section, they can click Payment Details to see a full breakdown:

• Subtotal — the base amount selected by the customer
• Signup Fee — the one-time fee you configured
• Total — the combined amount charged on the first payment

The Pay button shows the full total (base amount + signup fee).

Note: The signup fee is only charged once. Future recurring payments will only charge the base subscription amount.

Step 3 — View Sign Up Fee in the Subscriptions Module

After a customer completes a payment, the Sign Up Fee is recorded separately in the payment entry.

Navigation Path: WordPress Dashboard → WP Easy Pay → Subscriptions → Open a Subscription Entry → Payment Details section

In each subscription entry, you will see:

• Payment type — the type of payment (e.g., donation_recurring)
• Transaction ID — the unique ID for the transaction
• Payments Amount — the base amount paid
• Signup Fees — the Sign Up Fee amount is recorded separately

Tips & Notes

• Use a clear label, such as “Registration Fee” or “Admission Fees,” so customers understand what they are being charged.
• Test the form in Square Sandbox mode before going live.
• You can update the Sign Up Fee amount at any time by returning to the Additional Charges tab and clicking Update.
• The sign-up fee is only available for the Donation Recurring and Subscription Payment form types.
• This fee is charged only once — it will not recur in future billing cycles.
• This is different from Additional Charges, which are applied to every billing cycle.
• Do not leave the Label field empty — it is required for the fee to display correctly on the frontend.

Troubleshooting

The sign-up fee is not visible on the frontend form.

• Make sure the checkbox in the signup fees section is checked, then click Publish or Update to save the form.

The signup fees section does not appear in additional charges.

• This feature is only available for donation recurring and subscription payment forms. Check your form type.

Payment details show 0.00 for the sign-up fee.

• Check that the amount field is not empty or set to 0.

The sign-up fees field is missing in the subscriptions report.

• This field only appears for payments made after the sign-up fee was enabled. Older transactions will not show it.
